Why Your Hiring Process Sucks and How To Fix It

As an entrepreneur or leader within your business, you understand the importance of hiring the right talent to drive your company’s success. However, if you find yourself constantly struggling to find and retain top-quality employees, it may be time to take a hard look in the mirror and review your hiring process.

Now we don’t really think your hiring process ‘sucks’ per se. But, we’ve compiled these useful insights with the assumption that there’s room for improvement. In this blog, we’ll explore common problems with hiring processes in entrepreneurial-led companies that would be considered small to midsize businesses, and provide practical steps to improve this highly critical area.

Problems with Your Current Hiring Process

  1. Lack of clarity in job descriptions and requirements. One of the most common mistakes in the hiring process is failing to clearly communicate job expectations. Vague or generic job descriptions lead to a flood of unqualified applicants and make it difficult to assess their suitability for the role. Take the time to clearly define the skills, qualifications, and responsibilities required for each position, and make sure to add a section in the job description about your company culture and expectations. Set the tone up front!
  2. Over-reliance on resumes and traditional screening methods. Relying solely on resumes has its limitations. It’s challenging to gauge a candidate’s true potential based on a piece of paper and what they say they’ve done, or can do. Incorporate additional screening methods, such as skills assessments or work samples early in the process (sometimes as part of the application process), to gain a better understanding of candidates’ abilities before you spend time interviewing them.
  3. Inefficient interview processes. Unstructured or inconsistent interview processes can lead to biased decision-making and inadequate evaluation of candidates. Implement a structured interview format, including a set of pre-determined questions and evaluation criteria, to ensure a fair and comprehensive assessment of each candidate. Consider creating a scoring matrix for question responses and experience to help attach data to what can be a subjective process.
  4. Unconscious bias in hiring decisions. While there’s certainly space for ‘going with your gut’, unconscious biases, such as affinity bias or confirmation bias, can cloud judgment and prevent the hiring of diverse talent. Raise awareness of these biases among hiring managers (or yourself if you’re doing the hiring) and implement strategies like blind screening or small group panels to combat bias and promote inclusivity.

The Consequences of a Poor Hiring Process

A flawed hiring process can have serious consequences for your business.

  1. High turnover rates and frequent job vacancies. Failing to attract and retain the right talent leads to high turnover rates, which can be detrimental to productivity, morale, and business growth. Each time a position becomes vacant, valuable time and resources are wasted on recruiting and onboarding new employees. And don’t we run our businesses to make money?
  2. Wasted time and resources on ineffective hiring methods. Traditional hiring methods, such as manually reviewing resumes and conducting multiple rounds of interviews, consume significant time and resources. Embrace technology to automate repetitive tasks, such as resume screening or scheduling interviews, allowing your team to focus on evaluating and engaging with qualified candidates.
  3. Negative impacts on company culture and employee morale. A poorly executed hiring process can result in cultural misalignment and low employee morale. When employees feel that their colleagues are not up to par, it can lead to frustration and a decrease in overall team productivity. Hiring individuals who align with your company’s values and goals is crucial for fostering a positive work environment.

Steps to Improve Your Hiring Process

Now that we’ve identified the problems, let’s explore practical steps to enhance your hiring process.

  1. Define clear job descriptions and requirements. Invest time in crafting accurate and detailed job descriptions that clearly outline the skills, qualifications, and responsibilities expected from candidates. This will attract applicants who are genuinely interested and qualified for the role.
  2. Use technology to streamline and automate parts of the process. Leverage Applicant Tracking Systems (ATS) or recruitment software to automate repetitive tasks, such as resume screening and interview scheduling. This not only saves time but also ensures a standardized and efficient process.
  3. Implement structured and consistent interview techniques. Develop a set of predetermined interview questions and evaluation criteria that are relevant to the position. Ensure that all candidates are assessed using the same criteria to maintain consistency and fairness throughout the interview process.
  4.  Incorporate diversity and inclusion into the hiring process. Actively seek diverse candidates by posting job openings on platforms that target a wide range of talent pools. Additionally, consider implementing blind screening techniques, where personal information (such as names or photos) is removed from resumes to reduce unconscious bias.
